ITS Heartland Sponsorship Guidelines

ITS Heartland provides opportunities for sponsorship of its Annual Meetings. The Chapter relies on strategic sponsorships to improve/ expand learning and networking opportunities provided through the Annual Meeting.

In return for their support, sponsors are presented with valuable opportunities to promote their organization, products and services to a diverse audience of ITS professionals.

It is ITS Heartland’s desire to maintain confidence that the sponsorship arrangements are undertaken in a responsible, open, transparent, and fair manner.

ITS Heartland recognizes its sponsoring organizations, but does not endorse any individual business/organization or their products and/or services.

Sponsorship revenues are not intended to be earmarked for specific meeting elements, but rather to help defray costs for the meeting as a whole.

ITS Heartland offers general meeting sponsorships at three levels of financial support including $ TBA Platinum, $ TBA Gold, and $ TBA Silver sponsorships. Benefits to sponsors at each level include the following:

Platinum Sponsor Hospitality Suites: There will be one hospitality suite available Tuesday night, March 31st after the reception for use by Platinum level sponsor. Food and beverages for the hospitality suites will be the responsibility of the sponsor. The hotel has indicated that food and beverage for the suites does not need to be purchased from the hotel.

ITS Pulse Special Edition
Advertise Your Company in Special Edition of ITS Pulse!!! We will be publishing our annual Special Edition of the ITS Pulse that features our Sponsors! See the "ITS Pulse Special Private Sector Issue Guide" for more details on drafting and sending in your article.

Additional Information for ITS Heartland Sponsorship

All sponsors may provide promotional/marketing materials to be included in meeting registration packets. All such materials must be received by the ITS Heartland Chapter Administrator no later than one week prior to the meeting.

The number of available Platinum Sponsorships is limited to the number of hospitality suites available to the Chapter at the host facility. Food and beverages for the hospitality suites are the responsibility of the sponsor.

Sponsorships may be accepted at any time; however official sponsorship registration will only be recognized upon receipt of full payment.

Recognition of sponsors in printed materials including meeting program, poster boards, tabletop placards, and Special Edition of ITS Pulse is subject to advertised deadlines set by the Chapter in advance of the meeting.

In order to provide equal recognition to sponsors at each sponsorship level, ITS Heartland will only recognize one company/organization per sponsorship of any level.

It is not the intention of these guidelines to deny anyone the opportunity to donate money/services or raise money to benefit the Chapter. There may be situations that present themselves that fall outside of the provisions of these guidelines. In the event these arise, the affected party may request a variance. Requests for variances from these guidelines will be addressed on a case by case basis and must be pre-approved by the Board of Directors by majority vote during an official board meeting.
